2. How We Use Information

We process information to provide, improve, administer, and secure the HR App and related ERP/HR/CRM workflows. This includes:

  • Authenticating users and opening the correct company workspace.
  • Displaying Home dashboard summaries, pending requests, today status, hours today, and recent activities.
  • Operating attendance, check-in/check-out, timesheet, task, leave, expense claim, lead, quotation, profile, and logout workflows.
  • Supporting manager monitoring, attendance reports, all-staff views, timesheet review, leave review, productivity monitoring, and approvals.
  • Maintaining records for operational, payroll, reimbursement, HR administration, CRM follow-up, support, audit, and compliance purposes.
  • Preventing misuse, diagnosing issues, maintaining system security, and improving usability.

3. Location Data

The Employee Checkin workflow may use device location to support attendance check-in and check-out where the company has enabled this feature and the user/device grants permission. Location data may be recorded with attendance activity for verification and workforce management. Users can manage device-level location permissions, although disabling location may limit check-in/check-out features where location is required by the employer.

4. Sharing and Disclosure

Information may be visible to authorised users inside the company ERP/HR/CRM environment according to configured roles and permissions. We may share information:

  • With the employer/company administrator that controls the ERP/HR/CRM server.

  • With service providers needed for hosting, maintenance, support, security, backups, analytics, messaging, or infrastructure.
  • When required to comply with law, enforce rights, protect users, investigate misuse, or respond to lawful requests.
  • In connection with business transfers such as merger, restructuring, or asset sale, subject to appropriate safeguards.
The app is intended for controlled business use. Access to personal, all-staff, manager, HRM, and CRM data should be configured by the employer based on job role and operational need.

5. How Long We Keep Information

Information is retained for as long as needed to provide the service, maintain HR/CRM records, support attendance and payroll operations, resolve disputes, comply with legal or accounting obligations, and satisfy employer retention requirements. Retention periods may be controlled by the company administrator and the connected ERP system. When information is no longer needed, it should be deleted, anonymised, archived, or restricted according to applicable policy and law.

6. How We Keep Information Safe

We use technical and organisational safeguards designed to protect information, including authenticated login, role-based ERP permissions, session controls, operational logging, and secure infrastructure practices where configured. However, no electronic transmission or storage technology can be guaranteed to be 100% secure. Users should access the app from trusted devices and networks and keep credentials confidential.

  • Logout of the app when access is no longer needed.
  • Use device settings to manage location permissions and notifications.

The HR App is a workplace and business application. It is not intended for children and we do not knowingly collect information from children for consumer purposes. Employers are responsible for ensuring lawful use for their workforce.
